Warwick Park Aesthetics - Cancellation Policy Terms and Conditions
1. Introduction
Warwick Park Aesthetics is committed to providing exceptional care and services to our clients. To ensure we can accommodate all our clients and maintain a high standard of service, we have established the following cancellation policy. By booking an appointment with Warwick Park Aesthetics, you agree to adhere to these terms and conditions.
2. Appointment Booking

Appointments can be booked via our website, by phone, or in person at our clinic.

A deposit may be required to secure your booking. The amount of the deposit will be specified at the time of booking.
3. Cancellation and Rescheduling

We understand that sometimes you may need to cancel or reschedule your appointment. Please notify us as soon as possible if you need to make changes to your booking.

Cancellations or rescheduling requests must be made at least 48 hours prior to your scheduled appointment time. This can be done by calling our clinic during business hours or via email.
4. Late Cancellations

If you cancel or reschedule your appointment with less than 48 hours' notice, your deposit will be forfeited, and you may be charged a late cancellation fee equivalent to 50% of the treatment cost.

In cases where no deposit was taken, a late cancellation fee of £50 will be applied.
4.1 Late Arrival

If you arrive late to your appointment and we are unable to accommodate you, the deposit will be forfeited, and no refund will be provided.
5. No-Show Policy

If you fail to attend your scheduled appointment without providing any notice (a no-show), you will forfeit your deposit, and you may be charged the full cost of the treatment.

In cases where no deposit was taken, a no-show fee equivalent to the full cost of the treatment will be applied.
6. Refunds

Deposits are non-refundable except in cases where the clinic needs to cancel your appointment. In such cases, you will be offered the choice of a full refund or the opportunity to reschedule your appointment.

If you are unable to attend your appointment due to unforeseen circumstances, please contact us as soon as possible. We will assess each case individually and may offer a rescheduled appointment without additional charges at our discretion.
7. Changes to this Policy

We reserve the right to update or modify this Refund Policy on Deposits at any time. Any changes will be posted on our website and will take effect immediately upon posting.

7. Exceptional Circumstances
Any payments are received for the procedure(s) performed as per prescribed treatment plan and not for any specific result. Although we can achieve great results, absolute success is a variable and cannot be guaranteed. Our aesthetics practitioners will use their experience and clinical acumen to provide you the best possible treatment result.
If you want to cancel services upfront : You will be charged cancellation fee, bank charges, applicable taxes and a prorated balance will be refunded.
If you want to cancel ongoing services and want refund : You WILL BE charged FULL PRICE PER TREATMENT of the procedures performed. All discounts e.g. monthly specials, package discounts, and credits issued when you bought the service will be lost. Services will be prorated using regular price per treatment and a prorated balance will be refunded after bank charges, applicable taxes.
If you want to cancel services and don’t want a refund but want to transfer credit to another package : You will NOT be charged FULL PRICE per treatment of the procedure to calculate prorated balance. You will be charged the price per treatment based on your package. The balance will be used towards a new package. If this results in you owing money, you can pay the difference and start the new package. If this results in us owing you money, this will be kept as credit for future use. (Credit expires 90 days from new purchase).
If you have any adverse event : NO REFUND is due. This is part of the risk of the procedure and was explained to you when you signed the consent. Our goal is to eliminate/minimise the risks or any other adverse event, but we want to be upfront with you so you can make a well informed educated decision.
Any and all medical cosmetic injectable services which are administered are not refundable. Every client will utilise the Botulinum Toxin or Dermal Fillers differently. The risk of ptosis, raised muscle, lower muscle, swelling, redness or vascular occlusion has been explained prior to treatment. Allergic reactions will be treated and any event of an allergic reaction or adverse reaction is a risk with every client experiencing such an event will not constitute a refund of the completed treatment. Client agrees to the injection treatment knowing the risk and has realistic expectations of the results and risk.

We understand that emergencies and exceptional circumstances can occur. Please inform us promptly if you need to cancel or reschedule your appointment due to an emergency or unavoidable situation. We aim to be flexible and understanding in such cases.

At Warwick Park Aesthetics, the safety and satisfaction of our clients are our top priority. While we take every precaution to ensure the highest standard of care during dermal filler treatments, it is important to inform clients of the potential risks, including vascular occlusion.
Vascular occlusion is a rare but serious complication that can occur when a blood vessel becomes blocked due to the injection of dermal fillers. This may result in reduced blood flow to the surrounding tissue, potentially leading to tissue damage or other complications if not promptly treated.
By agreeing to undergo a dermal filler treatment at Warwick Park Aesthetics, you acknowledge that:
Vascular occlusion is a recognised risk associated with dermal filler injections, though it occurs infrequently.
Our practitioners are trained to minimise this risk by using safe techniques, but as with any medical procedure,
complications may arise.
Should vascular occlusion or any other complication occur, our medical team is prepared to take immediate corrective action, which may include the use of hyaluronidase (an enzyme that dissolves filler) or other appropriate treatments.
In rare cases, further medical intervention may be required, and you may be referred to a specialist if necessary.
You agree to follow all post-treatment care instructions provided by your practitioner and to contact us immediately if you experience any signs of vascular occlusion, such as:
Severe pain in the treated area
Discolouration or blanching of the skin
Prolonged swelling or changes in skin temperature
